How are you? Recently, I've got a complaint from an exhibition attendee. From his feedback on our exhibition Sound Systems 2011 at the Fortune Hotel (23-25 February), he has pointed out three problems: online registration, overcrowding at exhibitions and the shortage of print materials related to exhibition products.

Subject: Issue of Exhibition Complaint
Dear Ms Kong,
I am writing to report the complaint from an exhibition attendee for our exhibition Sound Systems 2011 at the Fortune Hotel on 23-25 February.
In his letter, he is concerned about three problems in the exhibition, namely, online registration, overcrowding at exhibition, and shortage of leaflets of exhibition products.
Issue 1: Online Registration
Mr. Leung found that he had difficulty in accessing the online registration system. After investigation, the problem is caused by server overloaded as too many people registered at the same time. Our group suggests that IT department can upgrade the server to increase the capacity.
Issue 2: Overcrowding
Mr. Leung was also seriously concerned about the overcrowding at exhibition. However, our team's investigation shows that it was only crowded at certain parts at certain time. Hence, we could recommend that Mr. Leung comes next exhibitions during non-peak hours.
Issue 3: Shortage of Product Leaflets
Lastly, Mr. Leung complained that there were no enough leaflets at the exhibition. Based on our environmental policy, we will not prepare too many hard copies for guests. Therefore, to show our goodwill, it is recommended that we send soft-copies of exhibition products to Mr. Leung within one day.
We would like to seek your approval for implementing our suggestions to handle the case. I look forward to hearing from you. Thank you.

Thank you for your letter of 10 March concerning three matters of our exhibition Sound Systems 2011 at the Fortune Hotel on 23-25 February.
We have investigated the causes of those matters and have devised implementations to improve those issues. The cause of online registration was due to server overloading as too many people registered at the same time. Our IT department is going to upgrade the server to increase the capacity within this month.
In addition, the reason of overcrowding was only occurred at certain time. We suggest that you could come to our next exhibitions during non-peak hours. We assure that you could enjoy our exhibition next time.
Lastly, while we can understand your frustration, we would like to point out that only limited hard copies of exhibition products will be provided because of our environmental policy. To show our goodwill, we would like to send the soft copies of leaflets to you. Those are enclosed herewith. Please see the attachments.
